Booking Terms & Conditions
At Solo Alpine Treks, we believe in complete transparency, fair policies, and professional service. Please take a moment to review our booking terms and conditions before confirming your trip. These guidelines ensure a clear understanding between the traveler and our company.
1️⃣ Booking and Payment Policy
Booking Confirmation
Your booking is confirmed once we receive a non-refundable deposit, which secures your travel arrangements, hotel reservations, flight tickets, and trekking permits.
Deposit Amount
The deposit typically ranges from 10% to 50% of the total trip cost. In most cases, 20% is sufficient to confirm your booking.
Final Payment
The remaining balance must be paid upon your arrival in Kathmandu, before your trek or expedition begins. Some trips may require full payment in advance depending on logistics or permit requirements.
Payment Methods
We accept bank transfers, credit/debit cards, or cash payments (in USD or other major currencies). Any bank or card processing fees are the client’s responsibility.
2️⃣ Cancellation and Refund Policy
Cancellation by the Client
Cancellations must be made in writing (email or letter). The cancellation date is the day we receive your written notice.
Refund Structure
Refunds depend on the time remaining before your trip start date:
More than 30 days prior: Deposit forfeited; a small administrative fee may apply.
15–30 days prior: 30–50% of total trip cost retained.
Less than 14 days or “no-show”: 100% of total trip cost retained.
Cancellation by the Company
If Solo Alpine Treks must cancel due to unforeseen events (political unrest, natural disasters, etc.), you may choose a full refund or a rescheduled trip. However, we are not liable for external expenses such as international flight tickets.
Trip Postponement
We allow trip postponement (up to one year) at no extra cost, provided you notify us within a reasonable time frame.
3️⃣ Changes to Itinerary
Unforeseen Circumstances
Trekking in the Himalayas depends on weather, health, and local conditions. Factors such as flight cancellations, political strikes, or natural disasters may require itinerary adjustments.
Company’s Role
Our team will make every effort to find alternative arrangements to continue your journey. However, Solo Alpine Treks cannot be held responsible for additional costs arising from delays, nor for unused services like meals or accommodation.
4️⃣ Health, Safety, and Insurance
Travel Insurance
Comprehensive travel insurance is mandatory for all participants. Your policy must include:
Medical emergencies and hospital expenses
High-altitude trekking or mountaineering coverage
Emergency helicopter evacuation
Trip cancellation or interruption
Loss or theft of personal items
Health and Fitness
Travelers are responsible for ensuring adequate fitness and health. Some expeditions may require a doctor’s fitness certificate before departure.
Assumption of Risk
By booking with us, you acknowledge the inherent risks of trekking and adventure travel — including injury, illness, or loss of property. Solo Alpine Treks and its team are not liable for such risks beyond our control.
5️⃣ Permits and Government Regulations
Mandatory Permits
All trekkers must obtain required permits, which Solo Alpine Treks arranges on your behalf. These may include:
TIMS Card (Trekkers’ Information Management System)
National Park or Conservation Area Permits (e.g., Annapurna, Sagarmatha)
Restricted Area Permits (e.g., Upper Mustang, Manaslu, Dolpo) – require a minimum of two trekkers with a licensed guide.
Guide Requirement
As per the Nepal Tourism Board (effective April 1, 2023), all foreign trekkers must be accompanied by a licensed trekking guide through a registered trekking company. Solo trekking is no longer allowed in most national parks and protected areas.
Passport and Visa
Your passport must be valid for at least six months beyond your return date. Clients are responsible for obtaining the appropriate Nepal visa prior to arrival.
6️⃣ Client Conduct and Company Liability
Respect for Culture and Environment
We expect all trekkers to show respect for local traditions, communities, and nature. Littering, wildlife disturbance, or cultural insensitivity is strongly discouraged.
Right to Terminate Participation
Solo Alpine Treks reserves the right to terminate participation—without refund—if a client violates local laws, disregards guide instructions, or engages in behavior harmful to the group’s safety or cultural integrity.
Liability Disclaimer
We act as an agent for hotels, airlines, transport companies, and other service providers. While we select trusted partners, Solo Alpine Treks cannot accept liability for any delays, cancellations, or incidents caused by third parties.
