Solo Alpine Treks – Terms & Conditions
These Terms & Conditions apply to all treks, tours, and climbing expeditions organized by Solo Alpine Treks Pvt. Ltd., a registered trekking and adventure company based in Kathmandu, Nepal. By booking any trip with us, you agree to the following terms and policies.
Booking and Payment Policy
A non-refundable deposit of 20% of the total trip cost is required to confirm your booking.
The remaining balance must be paid upon arrival in Kathmandu, before the trek or expedition begins.
For trips to Tibet, Bhutan, or India, full payment may be required in advance due to permit and booking procedures.
All payments can be made via bank transfer, credit card, or cash, with applicable service charges.
Cancellation and Refund Policy
Cancellations must be made in writing via email.
The cancellation fee depends on how close the cancellation is to the departure date:
More than 30 days before departure: 50% refund (excluding deposit).
15–30 days before departure: 25% refund.
Less than 15 days before departure: No refund.
No refund is provided if a client leaves the trip voluntarily or involuntarily after it has started.
Flight tickets (domestic or international), once issued, are non-refundable and non-transferable.
Changes to Itinerary
Solo Alpine Treks reserves the right to modify itineraries due to unforeseen circumstances such as weather conditions, flight delays, natural disasters, political unrest, or client health issues.
We will always strive to provide the best alternative options with minimal disruption, but we are not liable for additional costs caused by such changes.
Travel and Medical Insurance
Comprehensive travel and medical insurance is mandatory for all clients.
The insurance must cover:
Medical expenses and personal accidents
Emergency helicopter evacuation (especially for high-altitude treks/climbs)
Trip cancellation and interruption
Baggage loss or theft
Clients must obtain this insurance in their home country before arrival in Nepal, as rescue insurance is not available locally.
Responsibility and Liability
Solo Alpine Treks acts as a service provider and will not be held responsible for events beyond our control, such as natural calamities, flight cancellations, road blockades, or political unrest.
Clients are expected to follow the instructions of their guides and trek leaders at all times for safety reasons.
The company is not liable for loss, injury, or damage to personal belongings during the trip.
Environmental and Cultural Responsibility
We promote ethical and sustainable tourism, following Leave No Trace principles.
Clients are expected to respect local traditions, cultures, and customs throughout the journey.
Waste disposal, wildlife protection, and cultural sensitivity are part of our environmental commitment.
Trekking Policies in Nepal
Licensed Guide Requirement: As per the new government rule (effective April 2023), all foreign trekkers must be accompanied by a licensed guide. Solo Alpine Treks strictly complies with this regulation.
TIMS Card (Trekking Information Management System):
Required for most trekking regions (except Everest region, where a local fee applies).
Must be obtained through a registered trekking agency like Solo Alpine Treks.
Restricted Area Permits:
Necessary for treks in certain remote regions.
Only issued through authorized trekking companies.
Require a licensed guide and minimum group size.
National Park/Conservation Area Permits:
Entry fees usually range from USD 20–30, depending on the region.
Arranged by Solo Alpine Treks before the trek begins.
Local Municipality Fees:
Some regions (e.g., Khumbu Pasang Lhamu Municipality in Everest) charge an additional local entry fee.
All trekkers must carry valid permits and follow local regulations at all times.
Mountaineering and Peak Climbing Policies
All climbers must obtain climbing permits from the Department of Tourism through an authorized company like Solo Alpine Treks.
Expeditions must include a government-licensed climbing guide (Sirdar) and a liaison officer where applicable.
Clients must have appropriate mountaineering experience and personal insurance covering high-altitude rescue.
The company reserves the right to deny participation to anyone deemed unfit or unprepared for safety reasons.
Privacy and Personal Data
Solo Alpine Treks respects your privacy. Personal details collected during booking are used only for permit processing, trip management, and emergency purposes.
Your data will not be shared with third parties except where required by law or local authorities.
Acceptance of Terms
By confirming your booking with Solo Alpine Treks, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
These policies are designed to ensure safety, transparency, and mutual respect between clients and the company.
